Under the general supervision of the Administrator, an employee in this class performs a wide range of highly responsible, complex, and confidential administrative duties in support of the Administrator/CEO and the executive team. Work requires high integrity, professionalism, and the ability to exercise sound independent judgment. Requires excellent communication and interpersonal skills and the ability to provide excellent service and information to internal and external contacts. Includes responsibility for the supervision of staff assigned to the Administrator’s Office.

Duties Include (Not Exhaustive)

  • Provides a wide range of complex office administration and administrative support to the Administrator and the office operations as assigned.
  • Completes tasks that include managing the calendar of appointments, completing a variety of reports, and arranging detailed and complex meetings, agendas, and travel.
  • Reviews, assesses, routes, answers, and monitors follow-up action steps on calls, visits, and correspondence. Gathers and analyzes information for administrative reporting.
  • Provide assistance and support to the Board Secretary in carrying out duties associated with the Board.
  • Compose and edit correspondence, including letters, meeting minutes, presentations, and reports.
  • Trains and supervises all staff assigned to the Administrator’s office.
  • Supervises the mailroom and messenger services and directs the mail flow to and from the Administrator’s office to ensure proper distribution.
  • Coordinates the collection of monthly reports and other required reports from Senior Management.
  • Makes recommendations for solutions to administrative problems. Coordinates events, meetings, forums, and department functions.
  • Takes the initiative to anticipate the needs of the Administrator and Senior Staff.
  • Contributes to the unit effort by accomplishing related duties as required.

Qualifications

Bachelor’s degree in business management, Public or Business Administration, Communications, Marketing, or similar field, and four (4) years executive level office administration experience with minimum of two (2) years in a supervisory capacity. CPM Certification preferred. In evaluating potential candidates for this position, the Administrator will consider professional certifications, and a track record of successfully supporting senior officials.
